Getting started with TownHall is easy. Just follow these simple steps and you are on your way!

Install TownHall

Info

Tips

  • TownHall can only be installed with System Admin access

  • TownHall is only available on Confluence Cloud, and not supported on Confluence Server and Data Center

  • Open the Atlassian Marketplace web page 

  • Search for TownHall in the "Search for apps" search bar

  • Select TownHall - Live Q&A for Confluence Cloud from the search results

  • Select "Get it now" button for the Free app

  • Select your hosting type as "Cloud" and install the app

That's it, all done! You are now ready to start using TownHall.


About TownHall

TownHall is a Confluence Cloud app to create and manage events and audience questions.

The three main users within TownHall are Admin, Presenter and Attendee.

Admin

As an Admin, you can create an event by entering the event name, event code and event timeline. You can also manage events by editing event settings, adding a Presenter to the event, sharing the event code with Attendees, and deleting the event. Within an event, you can manage event questions by pinning or unpinning a question, marking a question as answered, reopening an answered question, and deleting a question. And finally, you can view the event as a Presenter or as an Attendee.

Presenter

As a Presenter, you can present an event in a special full screen Presentation mode, where you can pin a question being answered, and also mark a question as answered once it has been responded to.

Attendee

As an Attendee, you can join an event with an event code, and within the event, ask questions, upvote questions, and also delete questions that you have previously asked.


Use TownHall

1. Home page

  • Open your Confluence Cloud site home page 

  • Select Apps → TownHall from the menu bar

  • View TownHall home page


2. Admin - Create Event

Info

Any user who creates an event will be assigned the role of Admin for the event.

  • Click the "Create Event" button on the TownHall home page

  • You will be shown a "Create Event" pop up page to create a new event

  • Enter your event name, event code, event state date and event end date

  • Click the "Create" button

  • Your event will now be created


3. Admin - Manage Events

  • Click the "Manage Events" button on the TownHall home page

  • You will be shown the Manage Events page with a list of all the Active Events and Past Events

  • Select an event on the Manage Events page

  • You will be shown the View Event page with a list of Open questions and Answered questions

  • Open questions are questions not answered yet, and Answered questions are questions marked as answered

- View Event - Pin Question

Info

Admins can help Presenters during a live Q&A by pinning questions that need to be answered next. Pinned questions can be unpinned by selecting “Unpin Question” against a pinned event question.

  • Click the Options menu (three dots) against an event question on the View Event page

  • Select the "Pin Question" option

  • The pinned question will be moved to the top of the queue and highlighted so that it is easy to view which question is being answered

- View Event - Mark Question as Answered

Questions marked as answered can be reopened by selecting “Reopen Question” against an event question on the Answered questions tab

  • Click the Options menu (three dots) against an event question on the View Event page

  • Select the "Mark as Answered" option

  • The marked question will be moved from the Open questions tab into the Answered questions tab

  • Click the Options menu (three dots) against an event question on the View Event page

  • Select the "Delete Question" option

  • You will be shown the "Delete Question” confirmation pop up message - “Are you sure you want to delete this question? This cannot be undone.

  • Select “Delete” button

  • Your The question will be permanently deleted

 Manage Events - View

 View Event - Manage Presenters

Only Admins can Add Presenters to help them manage the event.

  • Click the "Settings" button on the View Event page

  • Select the "Manage Presenters" setting

  • You will be shown the "Manage Presenters" pop up page to add a presenter to the event

  • Select a name from the drop down list and click , or type in the drop down to search for a particular user

  • Click on "Add as Presenter" button

  • The presenter will be added to the Current Presenters list

 Manage Events - View

 View Event - Share Event

  • Click the "Settings" button on the View Event page

  • Select the "Share Event" setting

  • You The event code will be shown the "Copied copied to your clipboard!" pop up message. You can share this event code via online messaging, calendar invite, or email to the Attendees. 


--3g.  Admin - Manage Events - Delete Event

Only Admins can Delete Events.

  • Click the Options menu (three dots) against an event on the Manage Events page

  • Select the "Delete Event" option

  • You A confirmation dialog will be shown the "Delete Event” confirmation pop up message - “Would you like to permanently delete this event? All the event data will be lost. This cannot be undone.

  • Select “Delete” button

  • Your event will be permanently deleted


4. Presenter - Manage Events - View

Event - Present

Anyone invited as a Presenter by Admin is assigned the role of a Presenter. Presenters can help Manage Events through actions like Pin/Unpin Questions, Mark Questions as Answered/Reopen Questions and Delete questions (similar to Admin). 

  • Select an event on the Manage Events page

  • You will be shown the View Event page with a list of Open questions and Answered questions

  • Click the "Present" button on the View Event page

  • You will be shown the "Presentation Mode" which is a special fullscreen view of the event questions which can be used during live Q&A sessions

  • In the Presentation Mode, you can sort event questions by “Most Liked” or “Most Recent”

  • Click the Options menu (three dots) against an event question on the View Event page in the Presentation mode

  • Select the "Mark as Answered" option

  • The marked question will be removed from the Presentation mode


5. Attendee - Join Event - View Event

Info

Anyone with an Event Code can join an event. They are assigned the role of an Attendee.

  • Enter the Event Code on the TownHall home page

  • Click “Go”

  • You will be shown the View Event page with the event questions

  • You can sort event questions by “Most Liked” or “Most Recent”

  • Click the "Ask" button on the View Event page

  • You will be shown the "Ask Question" box

  • Enter your question

  • Click the “Send” button

  • Your question will be displayed as an event question in the list


--5b. Attendee - View Event - Upvote Question

You can undo any upvotes by clicking on the “Like” button again.

  • Click the "Like" button against an event question on the View Event page to upvote a question

  • The question you upvoted will be highlighted in green. You can upvote multiple questions.

  • The question with the most upvotes is displayed at the top of the list when sorted by “Most Liked”

--5c. Attendee - View Event - Delete Question

Info

The “Delete Question” option is only visible for the questions you asked. You cannot delete other Attendees questions.

  • Click the Options menu (three dots) against an event question on the View Event page

  • Select the "Delete Question" option

  • You will be shown the "Delete Question” confirmation pop up message dialog - “Are you sure you want to delete this question? This cannot be undone.

  • Select “Delete” button

  • Your question will be permanently deleted
